Note to the team. Burnard Logistics is a freight company that has been operating for quite a number of years. A successful team combining management and on the ground staff who all deserve a really great day and evening.
The day will begin at Bethells Beach / Te Henga at 3pm after being brought to the private off-road entrance in a large coach for 45 pax and will consist of a three-hour adventure in the vehicles arranged before we depart at 6pm for Flaxmere House, a rural venue located ten minutes drive out of Bethells and where they will relax with an evening dinner, drinks and festive cheer before they are collected by a coach late evening.
The driving team will collect vehicles, be responsible for hosting safely under convoy all guests and allow as much as possible all guests who wish to drive the opportunity to try different challenges.
Team
Sharon Stewart – Director and Lead Host Overall and also trip leader for group 1- Driving in TBC. Please note this car will only hold guests who do not wish to drive and wish for a more sedate experience. 3 passengers
Graeme Williams – Assisting Sharon, taking charge of a Volvo XC90 and trip leader for Group 2 due to a large convoy of guests, although both groups will carry out the same maneuvers at the same time but on a side by side nature. This vehicle will be driven by guests in turns. 6 passengers
Roger Winslade – Assisting Sharon, taking charge of an Audi Q7 and will keep an eye on both convoys from a central position. 6 passengers
Monty Wawatai – Tail-end Charlie on Sharon’s convoy driving a P38 Green Range Rover although will drive to site in a Volvo XC90 holding 4 passengers
Jason Foley – Driving to site in his Rangey but taking over the XC90 from Monty. Tail-end Charlie to Graeme holding 6 passengers
John Harvey – Driving to site in recovery vehicle and holding both convoys from a recovery perspective with all required equipment but also able to hold 3 passengers once we begin
Danielle Williams – Driving to site in “Bubbles” holding 3 passengers once we begin.
Betty driving her own vehicle holding 3 passengers once we begin.
Radios will be available if required but please note these are to be returned to Roger at the end of the event before departing on site.
IMPORTANT NOTE – THERE ARE 46 GUESTS AND A NUMBER OF TEAM ALL WITH DIFFERENT PERSONALITIES AND ABILITIES. PLEASE DO NOT MAKE DECISIONS WITHOUT FIRST CLEARING IT WITH SHARON. IT IS A PROFESSIONALLY ORGANISED DAY SO PLEASE WEAR WHITE OR BLACK TOPS / T SHIRT / POLO SHIRTS AND FEEL FREE TO GO WITH SHORTS. OUR APPEARANCE IS OF VALUE TO PRESENT AN EXPERIENCE. GOOD SAFETY FOOTWEAR AND LOTS OF SUNCREAM, HAT, BRING WATER AND SHARON WILL PROVIDE FOOD FOR YOU.
ALL RATES HAVE BEEN AGREED PRIOR TO THE EVENT. IF YOU ARE NOT SURE REGARDING RATES DECIDED IN BUDGET PLEASE MESSAGE SHARON IN CONFIDENCE SO THAT IT CAN BE CONFIRMED AGAIN PRIOR TO EVENT TAKING PLACE.
03.00 PM – Arrival of 45 x clients to 250 Bethells Road, Bethells Beach, which is also known as our private entrance to our off-road location. Allowing 30 minutes to have guests comfortably seated into the convoy from the coach with all drivers taking us through onto the moonscape before alighting for photographs, safety briefing, refreshment bags and waters handed out.

03.45 PM – Challenge One Sand Dune Drop Off. All vehicles to make their way to the sand dune drop off and line up into two separate lanes some distance apart. All guests to alight and look at the challenge for a briefing. Those wishing to drive will watch a demo from John Harvey who will go around twice so that all drivers can see how the ascent back up the main dune can be achieved. Please see individual roles as to who is where helping with the various tasks.
04.45 PM – Challenge Two is the middle sand dunes for a drive over and down
05.30 PM – A finish with a drive to the lake if the general public has sufficiently left the area and is safe to do so. Alternatively, we can take a bit of a sand track to finish or the gnarly track depending on how soft the sand is and if suitable for the Volvos and Audi height of vehicles.

May I suggest you drive for a 1pm pick up @ The Rose Gardens Gladstone Road, Parnell.
1x Audi Q7 – Jason Foley to drive once I drop off to him
2x Volvo XC90 – one for you, one for Monty
Leave your vehicle there Graeme and I anticipate you will drive the vehicle you choose back later in the evening.
Monty and myself will also pick the other two vehicles up at the same time and Monty will return his that evening.
However, if ok for you Graeme, can you lead the way for you and me to head to Jason at Henderson Hire and I will leave my hired vehicle with him before I jump in with you and spin off to my place to pick up the Green P38 Range Rover.
You are Assistant Trip Leader to me for the day. I will ask John Harvey to go first to Bethells from around 1pm to check tracks with Betty, cut back scratching on the gnarly track as this could be the safest place to take vehicles through when public are in the area.

Monty, it would be wonderful if you could collect with myself and Graeme one of the three vehicles from 1pm pick up @ The Rose Gardens Gladstone Road, Parnell.
You can go with a Volvo XC90 and the journey to Bethells should allow you to become comfortable with the vehicle but in the meantime, do take time to look up online the off road capability and imagery of inside the vehicle along with controls.
If from 1pm you can make your way with us as we navigate to Henderson Hire to provide one of the vehicles to Jason whilst I head back to my place to collect another vehicle. Alternatively, you can direct yourself to Bethells Beach directly but might be better to have radio contact and go through some of the days events and how that works in with the vehicles and team.
Then we meet again at the private track entrance at Bethells to take some time to pop into site and get a feel for the vehicle off road before returning for a briefing 2.30pm at the private entrance.

ROGER PLEASE BRING RADIOS TO ADD INTO OUR EXISTING RADIOS
Roger if you could come and park at my place and swap from yours into my green P38 and drive to Bethells Private entrance for say 1pm? That means if we leave clients to Flaxmere around 6pm you can swap vehicles back at mine then leave for your night run. However, I may even be able to get you away earlier around 5.45pm does that work?
Please note there is some slight damage to the radiator in P38 and there is no working temp gauge so be aware of overheating and I will make sure there is plenty of water in the rear of the vehicle.
John, If you can handle recovery fully for the afternoon and want to head down to John’s place as soon as you are able from midday onwards.

Client will arrive at 3pm but we will hold a safety brief from 2.30pm at the entrance to the private track. As you said, the Audi and Volvo’s may find it harder with the sand hill onto moonscape so if Monty, Jason and Graeme check this when they arrive at around 2pm with you then that would be awesome so that we know straight away.
John, can you make sure any signage is up warning people that a private off road event is taking place on private land and to be careful. I will also provide you with A4 printed notices to say same so please pin them up around the place as much as possible.
