11.20 hrs – Sharon will take collection of the cars from Andie (021 550 945) to collect the D5 Land Rover and one Range Rover from 20 Beaconfield Street, Grey Lynn. Tim’s contact 0274653888.
11.45 hrs – Roger to meet Sharon and collect one vehicle to go and collect Monty from St Heliers address as provided.
12.10 hrs – Monty will be collected by Roger and both will return to 20 Beaconfield Street, Grey Lynn
12.30 hrs – Graeme Williams (Recovery personnel) will recce Bethells site for safety and to ensure tracks we plan to drive are safe for vehicles as well as any gorse pruned back 0272442443
12.45 hrs – Sharon, 02102928023 Monty 0211711142 and Roger 0275355770 to meet in all three vehicles and travel to Flaxmere House from Grey Lynn for 13.45 hrs latest collection of guests
13.45 hrs – Collection of 13 guests from Flaxmere House, Bethells Beach – 5 females and 8 males of all fitness ranges & ages, eldest is approximately 55 and youngest is approximately 41
13.55 hrs – Sharon in lead vehicle with five radios, first aid kit, fire extinguisher. Monty and Roger in the middle of convoy Meeting Graeme at the PRIVATE ENTRANCE taking up tail end charlie with recovery kit and fire extinguisher – complete safety breifing with guests en route to avid delays and radio channel 21 plus 30 to switch over in emergency.
13.55 hrs – Monty and Roger driving Range Rover and Land Rover D5 each with four passengers plus driver, Sharon driving D4 with five passengers
14.00 hrs – Taking Graeme’s safety lead we anticipate the initial photo shoot on the moonscape and any questions with clients before tracking to lake then over to sand dune drop off then onto the area created by Graeme so three challenges in total up to 16.00 hrs. However, if clients wish to stay a little longer we can always finish with sand time track.
16.30 hrs – Leave site latest and Sharon has to leave to a business meeting If Monty and Roger can return cars to pick up location but en-route please take both vehicles through touch free wash ( money left in vehicle for this purpose as well as Roger take the company credit card and fill both vehicles with diesel to full before return.
18.00 hrs – Finish job. Roger to return Monty home after vehicles have been returned to base cleaned and refilled.
Overview:
LVMNZ operates a number of tour/event based commercial activities on private land in the Bethells Beach area in conjunction with local land owners.
One location is the private property at Lake Wainamu where LVMNZ uses the privately owned dune area as well as the access right of way in the stream area.
LVMNZ has management strategies in place to ensure the safety of public and their own private guests or visitors to Lake Wainamu and includes not compromising their visitor experience or activities of either the general public or clients of LVMYNZ.
The public are often encountered when LVMYNZ drive on private property for example most members of the public are…
• Taking a short cut across private property to the lake.
• Body boarding down some dunes on private property.
• Climbing the dunes on private property.
• Walking along private tracks
However, members of the public are also encountered when LVMYNZ use the easement access along the stream after driving down the dune which partly falls on private property and partly on regional parkland areas.

Media and website responsibilities:
The main focus of any media representation for these events site specific to Bethells Beach is to represent the history, story and diversity of the area and not to focus too heavily on the 4wd aspect in media. For example, all guests are asked NOT to refer on their own social media to Bethells Beach / Te Henga to reduce the possibility of public thinking they can simply turn up and carry out themselves this sort of activity. Our own media platforms suggest scenic experiences with good food and whilst we do show vehicles in some of the track navigation we also take responsibility in illustrating well thought out environmental practices specific to the needs of the area as well as promoting safety in our media. Also we work in the area of high end so we do not take shortcuts when it comes to experience and details and that tends to lend itself to a more responsible approach from the client.
LVMYNZ are recognised as very experienced off road navigators, trainers and assessors. As such LVMYNZ are often asked to take part in safety videos or contribute to articles to keep putting out there the message of safety.

Bethells Tour/Event Management Policy: (in conjunction with LVMYNZ Health and Safety Management plan.
1) Temporary signage is erected on access points whether private or public at the start of the day and prior to any tour/event starting advising the public of 4×4 off road activity in the area. This signage is removed at the end of the day or tour/event.
2) Prior to any tour/event starting a member the management team drives the route to ensure it is safe and fit for purpose and reports on any problems, any problems are documented and managed as part of LVMYNZ H&S requirements.
3) The poles defining the figure “8” drive section of the route are erected.
4) A team briefing including H&S requirements for the day is held prior to the tour/event and recorded as part of LVMYNZ H&S policy.
5) When all participants have been guided onto the private property and prior to starting the tour/event a safety briefing is carried out and UHF radios are assigned to each vehicle and management team members so all vehicles are in contact with the management team and can be given verbal instructions as required.
6) Prior to the tour group reaching the dune hill leading to the stream a management team member will arrive and check the area.
If any public are using the dune hill or are in the stream a safety officer will be appointed to manage the public while the tour group are receiving instruction and a safety demonstration, Managing the public could include any or all of the following control actions being taken.
a. Talking to them and advising them what is happening, and that it will only take a few moments and should not impinge on their enjoyment of their own activities.
b. Under no circumstances does a vehicle enter the stream if public are in the stream.
c. Maintaining a safety zone between the tour vehicles and the public.
d. If it is a large public group tape off the safety zone on the private land.
e. Stay with the public until the tour group have passed.
f. Advise the public of alternative ways around the tour group if they wish to proceed around to the lake.
g. Remain professional and educate the public on safe driving techniques as they are demonstrated if the public wish to watch.
h. Re-join the tour group after the vehicles have passed.
After various challenges in private pine forest area as well as the dune hill and stream exit, the tour itinerary will be completed.
At the end of the day all routes are checked for rubbish the public have failed to remove and any route markers removed.
A special tow behind vehicle “levelling chain” is pulled around the sand route (not the stream) to smooth over any trail marks.
Because the area is sand based, the weather patterns assist also the movement of the sand resulting in no visible signs of driving having occurred.

Boundaries. (Due to the nature of the shifting dunes and the way the stream moves it is impossible to accurately define the property boundary without a survey and permanent markers or fences being erected.)

Land Rover Owners Club Auckland enjoy good relations with LVMYNZ and actively provide extra safety scouts who all ten years off road driving experience.

Environmental Management:
LVMYNZ is committed to managing the environmental impact that tours/events have in this area.
Where possible vehicles will travel in the same wheel track as the vehicle in front on soft sand to avoid trenching occurring. However, in pine forest areas vehicles are encouraged to slightly off set tyres behind lead vehicle to create and maintain even tracks in mud and clay terrain.

Remove all rubbish including rubbish left behind from members of the public entering private land.
No vegetation is driven over.
Education is paramount when working with our own visitors as well as members of the general public. The nature of our tours / events can mean that many of our own guests would become members of the public at future times visiting these areas. We consider it a privilege to educate and promote the diverse environment and teach people how to help look after it.
