ALL CREW – Sharon, Graeme, Jason, Shaun, Kyle, Phil, and Nelly ( 6 crew vehicles ) meet opposite the Waitakere primary school in the parking places. Channel 19 for all customers and crew for the day – Channel 22 for emergency or if need to discuss any issues. Please ONLY use channel 22 out of client earshot throughout the day.
09.00 am – Set up at Bethells – Jason swap into Sharon’s TD5 and take the trailer, Raewyn ( who is coming to help for Sharon with food presentation) to car park entrance with all crew. Graeme ( please bring your gate key) and I am currently checking with Vicky what the gate codes are for her land. Jason park the trailer behind bach. Everyone helps unload food into bach area and tables, chairs and other incidentals into main area.
Track check please safely and ensure food is correctly prepared ready for lunchtime gathering. My keys have the new container key so that the time trial markers can be removed and readied for use later in the day.
10.00 am latest for Graeme and Jason to return to Swanson Train Station to help guide convoy to Bethells on channel 19.
13 vehicles currently registered although I expect two to three more. I will hand out a sheet on Sunday morning detailing vehicles and occupants.
10.30 am – Navigating onto the sand dune before safety briefing held on large dune area along with photo opportunity.
THIS IS WHERE SANTA WILL BE THERE TO GREET PEOPLE AKA PETE ATKINSON IN HIS KHAKIS AND WHITE BEARD WITH HIS WILLIE JEEP.
Land owners, Johnny and Rebecca Wheeler, Vicky Bethell, Paul and Jessy will also join us around lunchtime and Johnny may even follow along in his jeep.
11.00 am Begin a full convoy drive through the gate onto Vicky Bethell’s property as we turn right and head up into the trees to the lookout area. Convoy will park in the top grass area and we can all walk to the lookout with some storytelling before we descend down to the bottom track.
PLEASE CHECK THE TRACK TO THE LAKE IS CLEAR OF BRUSH AS WE MIGHT GET THE OPPORTUNITY TO RIVE DOWN TOWARDS THE LAKE AND RETURN UP THE SAND DUNE STRICTLY HUGGING THE LEFT-HAND SIDE
IMPORTANT – It is vital that we do not drive anywhere where we are not allowed. Sharon is trip leader for this part so please take note to stay in similar tracks.
From the forest run to settle people in, Sharon will make a decision as to whether we split into two or even three groups. At this stage it is vital we all spot all customers as damage MUST be avoided.
If we split, I would suggest one group into knarly section A and one group into knarly section B and possibly the learner group over to the sand dune drop off and or time trials. This means that those who are able to navigate the knarly sections can play for some time in there and even attempt section 3. PLEASE make people walk it first before they attempt to drive it and make sure you have a prominent sporting position on foot with hand held radios to get people safely through.
RECOVERY FOR THE DAY IS ??
We can then decide on the day as to which group moves where after that. the time trial or the dune drp off, but considering we do not know how busy it will be with the public, Sharon will make decisions with you all on the day.
1.30 to 2pm – Christmas lunch at Santa’s bach. Help yourself to his delicious BBQ’d Christmas ham, pineapple, and lashings of salads and artisan bread to tear off in chunks and enjoy. Finish off with french donuts and toasted marshmallows.
Gifts will be given out to customers from Santa and the fire pit can be lit for toasting of marshmallows.
3.30 pm – For those still keen to enjoy some of the harder challenges if others leave there is an opportunity to have some further off road fun safely

HAZARD IDENTIFICATION ASSESSMENT AND MANAGEMENT
A hazard is “something having the potential to cause harm”.
An important part of the ‘Clients details’ Health and Safety program is the identification and control of all foreseeable
hazards. It is a fundamental requirement that the company takes all practicable steps to Eliminate, Isolate or Minimize
hazards in the workplace and we ask for your help in this regard.
Hazard Management.
The most important outcome of the hazard identification process is: Knowing what to do about the Hazard.
• When you have assessed a hazard and consider the likelihood of an injury occurring you should Eliminate, Isolate or
Minimize the Hazard to manage the risks.
• If you observe a hazard or hazardous situation you must report it immediately to your Manager, the site H&S
Coordinator or the person in charge at the time.
• If it is a physical hazard, such as a broken pane of glass, ensure that it is signed/taped to avoid injury until it can be
repaired
• Complete a Hazard Report Form for every hazard or hazardous incident or safety problem that you notice and hand
it to your Manager. If not urgent, the report will be dealt with at the next H&S meeting.
A Hazard Removed is an Accident Prevented.
Significant Hazards.
A ‘significant hazard’ is one more likely to lead to a serious harm injury.
All significant hazards will be examined by the H&S Coordinator at the earliest possible opportunity.
Significant hazards are recorded on the Site Hazard Register. You will be informed as to the location of the Site Hazard
Register before working on the site.
Handling Of Hazardous Substances.
If hazardous substances are stored incorrectly and handled improperly, they can cause serious harm or property damage, fire
or explosion. The H&S Coordinator maintains the Hazardous Substance Register and all Material Safety Data Sheets (M.S.D.
Sheets).
If your job at .99 involves working with chemicals:
• Take special care to follow the safety rules on the M.S.D. Sheets,
• Always read the instructions on the label and know the use on any chemical you are handling.
• Know where the M.S.D. Sheet for the chemical you are working with is stored and be familiar with each
requirement.
M.S.D.S Sheets will tell you in part:
• The name of the chemical.
• The type and degree of hazard involved.
• What precautions you should take.
• What to do in an emergency.
• Safe storage of the chemical.
Where spillage of chemicals occurs, you must immediately report this to your Manager. Your Manger will arrange clean up in
and safe disposal of the hazardous waste.

Control Measures
1 No running. Please wear enclosed shoes at all times whilst on location
2 Please respect the landscape, we are in uneven terrain the dunes constantly moving within the elements. Please
watch your footing at all timing. Whilst on the private road please drive to the conditions and be mindful of the uneven
surfaces
3 Please ensure you are dressed appropriately for the conditions – warm & cooler temperatures. Sunscreen to be
used for sun protection. Please keep hydrated at all times & be sun smart.
4 Please be mindful that public do access the sand dunes via the stream area and through the car park where we are
entering through to our set up location
ROAD RULES: All NZ road rules and LTNZ rules must be adhered to at all times. Drivers of vehicles are responsible for the
load and passengers at all times.
FATIGUE: If you are unable to drive due to fatigue, contact the Safety Supervisor, Sharon Stewart.
PPE: Personal Protective equipment is to be used by all when necessary or as required by location, if alert levels rise around COVID 19.
HEALTH AND SAFETY AT WORK ACT 2015
The focus of the Health and Safety at Work Act 2015 is to protect workers and other people against harm to their health,
safety and wellbeing by eliminating or minimising risks at work.
The Health and Safety at Work Act 2015 gives all parties from directors to workers Health and Safety responsibilities.
Safety is everyone’s responsibility.
Any concerns or queries regarding safety should be directed to either the HOD or Safety.
GENERAL CREW SAFETY NOTES
It is the responsibility of all cast and crew to ensure their own safety and the safety of others.
CLOTHING: Always wear appropriate clothing for the location and weather conditions.
FOOTWEAR: Always wear appropriate footwear for the location & conditions.
(Enclosed shoes. No “crocs”, sandals, slip on’s or Ugg boots)
FIRE EXITS: Crew and visitors must know where exits to buildings are and must not allow them to be obstructed so
that rapid exit would be prevented or hazardous.
HOUSEKEEPING: Keep areas tidy, clean up spillage, avoid causing tripping hazards, clean up and dispose of rubbish. Keep
working areas clear.
SUN: Ensure you are wearing sun protection at all times of the day (Slip, slop, slap, wrap and drink water).
EQUIPMENT/MACHINERY: Can only be operated/ used by trained and/ or ticketed operators.
Some machinery requires safety harnesses (Boom lifts) other machinery requires specialist PPE.
FIRE: Extinguish if possible, raise the alarm, and call emergency services.
CAUTION TAPE: Is there for a good reason, don’t cross it. Stay in area, don’t go exploring.
WORK AT ANY HEIGHT WHERE THERE IS A SIGNIFICANT RISK OF A FALL: All practicable steps shall be taken to ensure the
crew is safe. Eliminate, Isolate, Minimise. Harnesses & fall arrest devices are to be used to prevent falls. Handrails,
guardrails & toe boards should be fitted where there is risk of falling objects.
ROAD RULES: All NZ road rules and LTNZ rules must be adhered to at all times. Drivers of vehicles are responsible for the
load and passengers at all times.
ALCOHOL, DRUGS & MEDICATION: You are not allowed to work if affected by these.
NO SMOKING: At any time.
FATIGUE: If you are unable to drive at the end of the day due to fatigue, contact the Safety Supervisor or Production
representative to arrange alternative transport
ACCIDENTS: If you witness an accident or near miss, it MUST be reported to Safety Supervisor.
SAFETY CONCERNS: Any concerns or queries regarding safety on set or location should be directed to either the Safety
Supervisor or the Trip Leader.
